We are looking for enthusiastic Operations and Logistics Coordinator(s) to support the delivery of 3 upcoming fashion fundraiser events in spring 2019.

With pre-loved donations from the stars and brand-new items from designers and retailers across the nation, FASHION RELIEF is a large-scale public sale selling a wide-range of designer and high-street clothes, bags and accessories – all profits will go directly to the hunger crisis appeal.

This role will support the preparation, planning and set-up of the venue, contribute to a smooth flowing event day and assist in, briefing and managing a wider volunteer team, manage queries, while also paying specific attention to event safety procedures.

With travel for events located in Cork / Galway/ Dublin (travel and expenses provided as required for the role)

Tasks that the volunteer(s) will be expected to undertake:

Pre- Event

·         Liaise with Oxfam Ireland Health &Safety Officer to develop an event safety plan including development of a VERP (Venue Emergency Response Plan)

·         Assist in the development of venue layout to make optimal use of space

·         Develop a detailed floor plan and drawings including venue flow, access control, restricted areas & pedestrian flows

·         Develop a detailed venue setup/teardown plan and schedule, as well as allocate a volunteer team to support its delivery

·         Liaise with Oxfam Ireland staff, venue management, suppliers and donors, to arrange hire, delivery, collection and construction of equipment, fixtures and fittings in preparation for the event

·         Be responsible for the safe and efficient management of traffic flow and parking plan in the venue.

·         Assist in developing the event day plan and the pre-event schedule for vendors, suppliers and logistics as well as staff and volunteer support teams

·         Confirm volunteer requirements and communicate arrangements to Fashion Relief Volunteer Coordinators

Event Day

·         Assist in full venue safety check at start of day

·         Assist in the development of volunteer briefing and deliver if necessary before and during the event at shift changeover

·         Undertake regular safety checks throughout the day

·         Ensure all pedestrian and vehicle access and exit routes remain clear 

·         Assist with overall management of the Event Team and implementation of the event plan

Report important issues to the Event Manager ensuring all incidents are logged correctly. Pass all Incident/ Accident Report Forms to the Event Manager

Post Event

·         Attend and contribute to post event evaluation meeting and report

·         Ensure return of all hired equipment

Manage post-event thank you plan to suppliers and supporters of event

Skills required for this role:

·         Excellent written and verbal communication skills

·         Ability to lead and motivate a team

·         Reliable and at ease with managing multiple tasks concurrently

·         Ability to use initiative

·         Strong organisational skills and attention to detail;

·         Fluent in written and spoken English

·         Proficient in use of Microsoft packages and online research.

·         Enthusiastic and a team player

Details of time commitment needed for role:
Hours are flexible within office times mon-friday 09:00-17:00 and can be agreed with suitable candidate min 10 hours per week

Minimum time commitment per week:
10 hour p/week
