Description

Club Committee members lead their Sports Club in the organisation and management of activities.

All roles are performed on a voluntary basis and we are very grateful of your contribution to the TU Dublin Community and look forward to rewarding you for your efforts and dedication as a volunteer.

The Chairperson:

Is the figurehead and is responsible for Club activities and the Club's relations within the university and externally, and should oversee the members of the Club committee.

The Chair is the main point of contact with the Sports Office and, where necessary, the University. The Chairperson can attend all meetings on behalf of the Club but can also nominate another officer of the Committee to take on that responsibility.

The Chairperson is also jointly responsible (with the Treasurer) for the Club’s finances.

The Chairperson should chair all committee meetings of the Club and organise, manage and delegate when required.

The Chairperson coordinates the activities of the Club and ensuring that all committee members adhere to their delegated roles and responsibilities.

Ensuring that good practice, codes of practice, risk assessments etc. are followed.

Arranging regular meetings, minimum 4 per semester, including the AGM/EGM if required

Ensure the aims and objectives of the sports club are achieved.

Ensure all accidents/incidents are reported within 24 hrs

Attend meetings as required

 

The Secretary:

Deal with incoming communications to pass onto the committee and/or members

Maintain an accurate membership list

Publicise meetings and keep members up to date with all activities

Provide secretarial support to the committee and produce agendas and take minutes of meetings and issue these to members ensure to save everything on Club OneDrive and Club Microsoft Teams.

 

The Treasurer

Responsible for all financial transactions on the Club Portal and administers the sports club finances

Submit detailed Club Budget complete with quotes uploaded to the Club Portal.

Ensure all members have paid their membership fees and are registered on the Club Portal

Ensure all income and expenditure is accurately recorded & evidence of both are uploaded in the form of an invoice/receipt/lodgement receipt.

Ensure that everything is recorded on Club Portal with a paper trace ie lodgement made by a several members for trip, list the members and the amount paid pp etc.

Check your income and expenditure on the Club portal ensuring that all receipts and invoices are uploaded immediately

Present the financial end of semester reports at the AGM and ensure copies are made available to all members
